Setting up dataKart to work with your POS Software

The real power of dataKart Email Marketing Manager is the ability to work with your POS software. You won't need to invest in an expensive dedicated server or PC, in most cases the hardware you already have will suffice.

There are two main componants to dataKart

1) The dataFarmer Client Tool - which handles the uploading of information from your POS software to your copy of dataKart Marketing Manager.
2) Email Marketing Manager - The web based software you'll use your login to access and perform your email marketing activities.

When you make your purchase of dataKart you will receive an email which contains a link to download a file from our website.  This file contains all of the files you will need to complete your installation of dataKart

File inventory:

WelcomeInstallation.doc – the document you are currently reading
dataFarmer.zip – the client tool which will maintain the data within your login of the dataFarmer application.
dataFarmerInstallation.doc – a word document which will guide you through the set-up and installation of the dataFarmer client tool found in the dataFarmer.zip file.
SystemRequirements.doc – a word document that outlines the needs of the server or PC workstation that will run the dataFarmer application.
mapping.xls – an excel spreadsheet that provides the template for the three files which will need to be set up to facilitate the integration between dataKart and your POS Software.

POS Integration

Setting up the POS integration is a vital part of taking advantage of the powerful features offered by dataKart.

Making your information available

The data from your POS software needs to be set up in an export routine from your POS Software.  There are three files which will need to be set-up according to the mapping.xls document found in your initial download files.  These files are pretty straightforward and will need to be placed in a file folder and updated by your POS software at intervals ranging from every 45 minutes to once daily.

Customer – an export of your customer master records
Product – an export of your product master records
Transaction – an electronic transaction journal that allows customer transactions to be monitored and used for the triggering of emails.

Depending on the platform of your POS, windows, unix or proprietary, you may have different options available.

What will determine your options will be a combination of your in-house technical skills as well as the access to data export utilities made available by your POS software.  Our experience has shown POS software running ACCESS, SQL or any database with ODBC capabilities are the easiest and require the least technical knowledge or help from your existing POS provider.

We can also recommend some inexpensive data extraction tools that we have used in the past that can help automate or make this process easier for you.  If you are interested, please send us an email to This e-mail address is being protected from spambots, you need JavaScript enabled to view it and we will provide links for you.

Another way to create the integration is to contact your POS provider and send them the mapping documents which we will detail later in this document and allow them to handle this for you.  Depending on your provider and support contract with your POS provider, they may charge an additional fee.

The simplest process would be to allow dataKart to integrate the application using our experience of POS software and data export routines.  Many times we are able to create these exports without additional fees from the POS provider, but depending on the system we cannot completely guarantee that this will always be the case.  If you are interested in this implementation service, you may purchase this through our website.

Once you have completed this process, please send your completed mapping.xls file to dataKart and we will configure the mapping for your login within 1 business day of receipt.

Installing dataFarmer Client Tool

Now that you have your export routine working, you can move on to setting up the dataFarmer client tool.  For this process please refer to the dataFarmerInstallation.doc you receive in your download file at purchase.

Login to your dataKart and test

Once you have finalized your dataFarmer install and performed the updates, you can begin to login and use your POS information in your email marketing activities.
